Start with three outcomes
Write one process question, one equipment or project decision and one relationship objective. Use them to score exhibitors, sessions and meetings. A stop that supports none of the three is optional, regardless of how prominent the booth appears.
Build each day around fixed points
Place scheduled meetings, live demonstrations and time-specific education first. Group flexible booths by hall and process, leave travel buffers and protect open discovery blocks. The official floor plan and mobile app should control current navigation.
Divide a team deliberately
When colleagues attend together, assign coverage by technology or decision instead of walking as one group all day. Use the same note template and regroup with evidence, not general impressions. Duplicate only the demonstrations where multiple roles need direct observation.
Close the loop nightly
Before details blur, label every note and permitted photo with the company, booth, product and question. Sort follow-up into immediate, technical diligence, commercial diligence, reference research and no action. Give every serious item an owner and date.

- Which three outcomes justify the trip?
- Which fixed events control the route each day?
- Who owns each next action after the show?
