Send context before the show
Share a short application brief: current process, material, range, volume, quality requirement, constraint, timeline and the decision being evaluated. Avoid sending confidential files until the receiving party and use are clear.
Separate question groups
Cover application capability, configuration, automation, software, utilities, safety, service, training, lead time, commercial terms and proof. Identify which answers require follow-up from another person.
End with one next action
A meeting should finish with a defined action: sample processing, quotation, application review, reference call, facility visit, technical data or a decision to stop. Record the owner and date.

- What evidence is required after the meeting?
- What single next action advances or closes the evaluation?
