A stack of service invoices is not yet a machine history. Build a timeline that connects the exact machine, symptom, diagnosis, work performed, parts, verification and current status.

Anchor every record
Use manufacturer, model, serial, control and asset number consistently. Separate machine records from facility utilities, tooling and other similar equipment so a buyer can verify that the document belongs to the offered unit.
Build the timeline
Record preventive maintenance, alarms, crashes, spindle work, ballscrews, way systems, probes, rotary repairs, control backups, batteries, lubrication, coolant and geometry checks with dates, provider and result.
Distinguish repair from verification
An invoice can show that parts and labor were supplied. It may not prove geometry, production capability or resolution of the original symptom. Attach post-repair tests and disclose unresolved or intermittent issues.
Prepare a sale copy
Remove unrelated employee, customer, credential and financial data while preserving the technical record. Provide an index, identify missing periods and keep originals available under the agreed diligence process.
